*Position Description:* The position of Administrative Assistant is a key part of our Admin Team.
This team works together to handle all the logistics for creating a welcoming and efficient patient experience.
The team is responsible for first impressions, scheduling & registering patients, handling all daily office work, and entering charges and insurance information for billing and insurance purposes.
The Admin Team must be familiar with each area of the practice so that they can effectively answer questions and make decisions.
The position requires understanding of insurance and billing, as well as expertise in utilizing the Electronic Health Records system.
The primary role of the administrative assistant is to support the team with a positive, can-do attitude so that everything runs smoothly for the team and for our patients.
*Primary responsibilities: *
· Create a positive, welcoming and efficient environment for patients
· Take phone calls & schedule appointments
· Perform check-out tasks to complete patient appointments
· Insurance verification and pre-loading patient charts
· Patient recall, reminder calls and appointment confirmation
· Prepare daily patient folders and paperwork
· Patient data entry, scanning, faxing and general office work
· Cross-training in some basic optical or medical technician tasks as assigned
· Support the Admin Team as needed and handle other tasks as assigned
*Desired Qualifications & Experience:*
· *Work Experience:* Two years of experience in a medical or professional environment is desired.
· *Service Experience:* Candidate must have excellent people skills and demonstrate experience working with people in a customer service or medical setting.
The ability to build relationships, communicate clearly and create a positive experience for patients is essential.
· *Technical Experience:* Candidate must be comfortable working in specialized computer, phone and software applications, including Microsoft Word and Excel.
· *Additional Desired Skills & Qualifications:*
o Excellent people skills
o Strong verbal and written communication skills
o Strong typing and computer skills and ability to quickly learn new software
o Experience working with EHR software is preferred
o Ability to multi-task in a fast-paced environment
o Ability to troubleshoot, solve problems and resolve customer concerns
o Strong math skills
o Experience working with medical and optical insurance
